We are a privacy-first company. This page explains in plain language what data we collect, what we do with it, and importantly, what we deliberately do not collect or store.
The short version
The content your team enters when generating documents or using snippets, like names, dates, amounts, client details, is not stored on our servers. Documents are generated and downloaded directly. We store your templates and snippets, the structure and reusable content you build in WordFields, because that is the product. We do not store what you fill into them.
What we collect and why
Account information. When you create a WordFields account, we store your name and email address. This is used to identify your account, send you important service communications, and allow you to sign in.
Billing information. If you are on a paid plan, payment is processed by Stripe. WordFields does not store your credit card details. Stripe handles all payment processing and is PCI-DSS compliant.
Usage data. We collect basic usage information to operate and improve the product — for example, which features are being used and whether the product is functioning correctly. This data is aggregated and is not linked to individual users for marketing purposes.
Workspace content. We store the snippets and document templates you create in WordFields. This is the core of the product — without storing your templates, WordFields cannot function. They remain your intellectual property. We do not use them for any purpose other than serving them back to your team. We also store activity records visible inside your workspace: who created which document, when, the document title, and any notes a template owner has configured to collect at generation time.
Note
All data is stored on Microsoft Azure servers located in the European Union. Data is encrypted in transit using TLS. Sensitive data is encrypted at rest. We follow Microsoft Azure best practices for security, including key vaults, access controls, and audit logging.
What is NOT stored on our server
- Content entered into document forms when generating a snippet or document, like names, client details, amounts, dates, or any other variable data, unless you have explicitly configured the template to store specific values.
- Generated documents, which are downloaded directly to your device.
- Sensitive personal data beyond what is necessary to run your account.
Chrome extension
The Text Snippets & Templates Chrome extension requires only the permissions necessary to insert snippet content into web pages you are actively using. We do not read the content of pages you visit, track your browsing history, or collect data from websites you use the extension on.
We also offer a version of the Text Expander Chrome extension that does not require a WordFields account. In this mode, no account data is collected.
Third-party services
We use a small number of trusted third-party services for hosting, payments, and email. We do not use advertising networks, data brokers, or any third-party service that would have access to your workspace content. For the full list see our Privacy Policy.
Data retention
We retain your account and workspace data for as long as your account is active. If you delete your account, your data is permanently deleted within 30 days. Billing records are retained for the period required by applicable law.
