Fill a Word document online by highlighting fields in yellow and uploading to WordFields

How document templates work

Highlight in yellow

Open any Word document. Highlight the text that changes between uses, like names, dates, amounts, clauses, and addresses, then save. That’s it. No special tools, syntax, or plugins. If you can use the highlighter in Word, you can build a WordFields template.

Highlight the parts that change in your Word document in yellow.

Drop it into WordFields

Drop your file into WordFields and every yellow highlight automatically becomes a fillable field. Enhance your template with advanced field controls, custom types, validation, and formulas. Use a form alongside a live preview of your document, updating in real time as you type.

Upload your highlighted Word document and fill a form to complete it.

Generate Word documents

Generate Word documents with every part of your original formatting intact. Fonts, tables, page breaks, headers, footers, and images stay exactly where you designed them. Keep editing in Word, send to a client, print, or archive. Nothing about your original layout changes.

Why yellow highlights, not merge tags

Most document automation tools use template languages like curly braces, Liquid syntax, or content controls. They work, but they add friction: you have to learn the syntax, and one mistake can break everything. Yellow highlights remove that barrier. Anyone can build or update a template and use it to generate clean, formatted Word document.
Built for repeat use

For the documents you send again and again

Upload once, reuse forever, keep your team working from the same approved version. Offer letters, NDAs, engagement letters, freelance contracts, service agreements, quotes, proposals, policy acknowledgments, consent forms, onboarding packets, client briefs, purchase orders.

If you've ever opened an old Word doc, renamed it "[Client Name] - 2026.docx," and started hunting through it for the bits you need to change, this replaces that.

WordFields handles offer letters, contracts, proposals, and any Word template you send repeatedly.
Formatting preserved

What stays intact when you download

Everything. Fonts, paragraph styles, numbered lists, bullet indentation, tables with merged cells, images and logos, headers and footers, page numbering, footnotes, section breaks, multi-column layouts.

The filled document is a real .docx, not a PDF, not a flattened export, not a re-typed approximation. If it worked in Word before, it works after. You can keep editing in Word post-download if you need to.

Fonts, tables, images, headers, and formatting all preserved in the downloaded Word document.

Frequently Asked Questions

Does the highlight color have to be yellow?

Yes. Yellow is what WordFields looks for. It's the default highlight color in Word and mapped to the standard highlighter keyboard shortcut. Using yellow keeps the template instantly readable to anyone who opens it.

Why not just use Word's built-in Developer tab to make fillable forms?

You can, if you're willing to enable the Developer tab, insert content controls one by one, configure properties per field, and restrict editing on the document. It works, but it takes time, requires Word on both sides, and produces a Word file that still has to be emailed back and forth. Yellow highlights in WordFields get you the same result in seconds, with a clean web form and a downloaded .docx at the end.

How is this different from Word's mail merge?

Mail merge is designed for generating the same document for a large list of recipients, pulling values from a linked Excel spreadsheet. It works, but it's overkill for one-off documents β€” you still need to maintain a data source, link it correctly, and often fix formatting after the merge. WordFields skips the spreadsheet entirely: upload your Word document, fill a form, download the completed file. Same result, no data source to maintain. Read more about WordFields as a mail merge alternative.

What if I need a field that isn't plain text?

Every highlighted section becomes a text field by default. Inside WordFields you can convert fields into dropdowns, dates, numbers, or multi-line text, but the yellow-highlight step is all you need to get started.

Does the same field get repeated automatically?

Yes. If "Client Name" appears seven times and all seven are highlighted identically, WordFields treats them as one field. Type it once, every instance updates.

Can someone else fill out the template form?

To share and collaborate on a document template in WordFields, you need to invite people to your workspace. Once invited, they can access the template and fill it out as part of your team.

Can I use this for contracts and legal documents?

Yes. The output is a standard .docx, legally equivalent to any Word document you'd produce by hand. WordFields doesn't alter the document's legal status; it removes the manual fill-in work.

Is this really free?

Free for individuals. Team workspaces and advanced features are paid. See pricing.

What file formats work?

Upload .docx. Older .doc files should be saved as .docx in Word first (File → Save As → .docx). Excel (.xlsx) templates are also supported inside WordFields.

Less time on paperwork. More time on the work that matters.

WordFields works for any team that creates the same content repeatedly. Support, legal, sales, HR, operations, and beyond.
